AI Meeting & Note-Taking Assistants
This category solves one of the most time-consuming parts of the PM role: capturing what was actually said and agreed to in a meeting, and turning it into action without someone manually typing notes throughout the call. These tools join (or silently record) a Zoom/Teams/Meet session, produce a transcript, and then use AI to generate a summary, extract action items with owners, and — increasingly — let you 'ask' the meeting questions afterward the way you'd query a chatbot ('what did we decide about the launch date?'). For project managers who run standups, stakeholder reviews, and steering committees back-to-back, this is often the single highest-leverage AI adoption: it removes note-taking entirely, produces a more complete record than a human note-taker would, and feeds directly into RAID logs and status reports. The category has split into two architectural camps worth knowing about: bot-based tools (Otter, Fireflies, Fathom) that join the call as a visible participant, and newer bot-free tools (Granola) that capture audio locally on a laptop — a meaningful distinction when a client or stakeholder is uncomfortable with a visible recording bot in a sensitive negotiation or performance conversation.
