PMOs run on meetings - steering committees, stand-ups, stakeholder reviews, steering boards, risk reviews - and a large amount of PMO administrative effort goes into capturing decisions and actions from those meetings. This category (Otter.ai, Fireflies.ai, Fathom, and similar notetakers) automatically joins calls, transcribes and diarizes speakers, and uses generative AI to produce structured summaries, decisions logs, and action items which can often be pushed directly into a project tool or CRM. The best of these can also answer natural-language questions across a whole meeting history ('what did we agree with Client X in March about scope'), effectively turning scattered meeting content into a searchable knowledge base. Considerations for a PMO include data residency/security policy on recording client or leadership conversations, and whether the tool integrates with the PMO's existing project and messaging stack.
